1. Special Services
If your child receives special services at school, including a one-on-one aid or other accommodations, you must notify Camp W before registration. Camp W is a traditional day camp and does not offer a Special Needs Program. This information helps us determine whether we can provide an appropriate environment for your child’s safety, happiness, and success.
2. Camper Conduct
Camp W reserves the right to suspend or dismiss any camper whose behavior is disruptive, unsafe, or harmful to other campers or staff. Campers removed from camp for behavioral reasons will not receive a refund. Examples of behavior that may result in suspension or dismissal include, but are not limited to:
• Hitting or physically harming another camper
• Foul or inappropriate language
• Running away from the group
• Damaging camp property or equipment
3. Registration Deposit
A $300 deposit per camper is required with all registrations.
4. Tuition, Refund & Attendance Policy
• Full camp tuition is due by May 15, 2027.
• All deposits and tuition become non-refundable after April 1, 2027.
• After April 1, 2027, weeks may not be added, deleted, exchanged, or transferred.
• No refunds or credits will be issued for missed camp days due to illness, vacations, family emergencies, or dismissal from camp for disciplinary reasons.
• No refunds or credits will be applied toward future camp seasons.
• No exceptions will be made. Please register only if you are certain of your summer plans.
5. Enrollment Changes
After your first enrollment change, any additional changes to your child’s registration will incur a $100 administrative fee. Please review your selected weeks carefully before registering.
6. Transportation
Bus service is available on a first-come, first-served basis.
To qualify for door-to-door transportation, campers must:
• Begin riding the bus on Monday, June 28, 2027, or Monday, July 26, 2027, and remain on the bus for a minimum of four consecutive weeks.
Bus service is not available during Week 9.
7. Bus Assignments
Campers are assigned to bus routes based on the most efficient transportation schedule. If you prefer not to use your assigned bus route, you may transport your child to and from camp. Bus routes are finalized on June 1, 2027. No campers will be added to bus routes after that date.
8. Health & Illness Policy
• If your child vomits at camp or on the bus, they must remain home for 24 hours before returning.
• If a camper vomits on the bus more than once during the summer, they will no longer be permitted to use camp transportation and must be driven to and from camp.
• If your child arrives at camp or develops a temperature of 100.0°F or higher, a parent or guardian will be contacted immediately, and the camper must be picked up within the hour.
• Campers must remain fever-free for 24 hours without fever-reducing medication before returning.
9. Group Requests
Camp W does not accept friend or group requests. Campers are assigned to groups based on age, grade, and enrollment to maintain balanced group sizes.
If this policy does not meet your expectations, Camp W may not be the right fit for your family.
10. Cell Phones & Personal Electronics
Campers may not bring cell phones or personal electronic devices, including:
• iPads, Apple Watches, Tablets, Gaming devices or any similar electronics
Campers entering 7th, 8th, or 9th grade may bring a phone only on scheduled trips.
Any phone brought to camp will be held in the camp office and must be picked up by a parent or guardian.
11. Camp Attire
• Campers must wear their official Camp W T-shirt every day.
• Camp shirts may not be altered, cut, or modified in any way.
• Loose-fitting shorts are recommended.
12. Footwear
Sneakers must be worn daily.
The following footwear is not permitted:
• Crocs, Kanes or any form of recovery shoe, slides, flip flops, any open-toed footwear
13. Dismissal Changes
All dismissal changes must be submitted through the Camp W website using the Early/Late Form (located on the homepage) or by emailing info@campwdaycamp.com.
• Requests for early dismissal must be received no later than 2:15 PM.
• Early dismissal concludes at 2:30 PM.
14. Late Care
Late Care is available from 3:30 PM until 5:30 PM.
• If you sign up for Late Care after September 15, you will be charged $40 a week regardless of how long the camper stays in late care
• A $50 late fee will be charged the first time you are late for pickup after 5:30 PM.
• Being late a second time, will result in removal from the Late Care program.
Late Care is not available Week 9
15. Food Allergy Policy
Camp W is not a peanut-free or allergen-free facility. While we encourage families to be considerate of food allergies, we cannot guarantee that peanuts, tree nuts, or other allergens will not be present or that cross-contamination will not occur. Families of children with severe food allergies should carefully consider whether Camp W is an appropriate environment before enrolling.
16. Acknowledgement of Camp Policies
We understand that some of these policies may be strict. However, they are in place to ensure a safe, organized, and enjoyable camp experience for all campers, families, and staff. If you are unwilling to comply with these policies, Camp W is not the right camp for your family.
